Grab last month's card statement and your accounting export. A pen helps. That's the whole kit.

1. The free trial that quietly turned paid

Look for small, round monthly charges from software you don't open anymore. Trials roll into paid plans, and nobody gets an email they read. Check: list every recurring charge. Next to each, write who uses it. Blank line? That's your first call.

2. The same tool, paid twice

Two people sign up for the same app on two different cards. Or the old plan never got cancelled when you upgraded. Check: sort recurring charges by vendor name. Same vendor twice in one month is worth a look.

3. The duplicate invoice that got paid both times

A supplier emails a bill, then mails the same bill. Both get paid. Check: in your accounting export, sort payments by amount, then by vendor. Same amount, same vendor, a few days apart: pull both invoices and compare the numbers on them.

4. The ex-employee's seat

Someone left. Their login didn't. Many tools charge per user. Check: for each per-seat tool, count paid seats against people who still work here.

5. Card processing fees that drifted

This one isn't a forgotten subscription, but it hides in the same statements. Fee lines can creep without anyone noticing. Check: put this month's processing statement next to one from six months ago. Same volume, higher fees? Write down the line items that changed and ask your processor about them.

What to do with what you find

Cancel what nobody uses. Ask vendors for credits on true duplicates. Keep the list. Next quarter, run it again. It gets faster.
